POC scope notice. This Code of Conduct applies only to the Velta Proof of Concept and is enforceable as part of the Coach Partnership Agreement.
Coaches on the Velta Platform hold a position of trust with members. This Code sets the
professional standards every Coach must maintain. Breach of this Code is grounds for warning,
suspension, or termination under Section 13 of the Coach Partnership Agreement.
1. Professionalism and member welfare
- Treat every member with respect, courtesy, and honesty.
- Prioritise the safety and welfare of members above commercial interest.
- Work within your competence; refer members to qualified professionals for anything outside your competence.
- Be punctual and reliable. Meet stated response-time commitments or update your availability status.
2. Scope of practice
Coaches deliver fitness coaching only. Coaches must not:
- Diagnose, treat, or advise on any medical, psychiatric, or psychological condition.
- Prescribe, adjust, or comment on medication.
- Provide individualised nutrition plans, macro/calorie prescriptions, or supplement recommendations unless Coach holds a recognised, current dietitian / nutritionist credential valid in the member's province of residence. Nutrition advice is a regulated profession in several Canadian provinces and Coach is responsible for confirming the rules in the member's province before providing such advice.
- Comment on injuries in a diagnostic manner. Coaches may adjust training around a member-reported injury but must tell the member to consult a medical professional for diagnosis and treatment.
- Provide physiotherapy, chiropractic, osteopathic, or any other regulated healthcare service through the Platform.
3. General nutrition information vs individualised advice
Coaches may share general, publicly available information about nutrition and healthy eating.
Coaches must not tailor a nutrition plan to a specific member unless licensed to do so in that
member's province.
4. Communication standards
- Respond to new subscriptions within 48 hours; respond to member messages within 72 hours.
- Use respectful, non-judgemental language.
- No slurs, insults, or aggressive tone — including as “tough love” or motivation.
- No comments on appearance beyond what is necessary for fitness guidance, and always respectful.
- Keep all Platform communication within the in-app messaging system. Off-Platform contact is only permitted where the member proactively provides a phone number for a specific reason (e.g., call during a live workout).
5. Anti-harassment and anti-discrimination
Coaches must not harass, discriminate against, or retaliate against any member based on protected
characteristics under the Ontario Human Rights Code or the equivalent human-rights statute
in the member's province, including race, ancestry, place of origin, colour, ethnic origin,
citizenship, creed, sex, gender identity, gender expression, sexual orientation, age, marital status,
family status, or disability.
Sexual harassment, sexualised messaging, inappropriate commentary on a member's body beyond
fitness-relevant feedback, and any romantic or sexual advance toward a member are zero-tolerance
offences and grounds for immediate termination and reporting to authorities where applicable.
6. Safety and duty of care
- Review the member's PAR-Q+ responses and declared injuries before assigning a first workout.
- Program progressively and within the member's stated abilities.
- Flag safety concerns visible on uploaded videos (e.g., severe form breakdown, signs of distress).
- If a member describes symptoms that may be medical (chest pain, dizziness, severe joint pain), instruct them to stop training and consult a healthcare professional immediately.
7. Member data — confidentiality
- Treat member information (identity, health flags, injuries, videos, progress photos, chat content) as strictly confidential.
- Do not share, post, export, or discuss member information outside the Platform.
- Do not retain member information after a subscription ends or after termination of this Agreement.
8. Off-Platform engagement
Coaches must not circumvent the Platform to transact with members introduced through Velta. See
Section 10 of the Coach Partnership Agreement.
9. Content standards
- Workout content must be safe, proportionate, and within Coach's competence.
- Coach's own videos (if any) must not depict illegal activity, dangerous practices (e.g., unsafe lifts without appropriate context), or content prohibited by the Acceptable Use Policy.
- Do not upload content that infringes third-party copyright, trademark, or likeness rights.
10. Credentials and marketing
- Display only credentials Coach actually holds and that are current.
- Keep the profile bio honest, accurate, and free of unverifiable outcome claims (“lose 10 kg in 4 weeks”).
- Use language consistent with the Velta brand voice: direct, encouraging, expert, human. Avoid “elite,” “premium,” “exclusive,” “world-class,” “luxury.”
11. Reporting incidents
Coach will promptly report to support@velta.fit (subject
line "Trust"):
- Any member injury known to Coach or reported to Coach.
- Any complaint from a member.
- Any lapse or loss of required credential or insurance.
- Any suspected account compromise.
- Any change of Coach's province, territory, or country of residence.
12. Consequences of breach
Depending on severity, consequences include warning, mandatory training, suspension, or
termination under Section 13 of the Coach Partnership
Agreement. Zero-tolerance offences (Section 5 above, credential fraud, safety breach causing
harm) may result in immediate termination without prior warning.
